Automatic mailings and check-in reminders for your events

Set up a mailing or check-in reminder once and Buchung sends it automatically for every selected event — including to participants who register later.

Since June you can prepare a check-in reminder from an event. That works well, but it stays manual work: per event, at the right moment, sending it yourself.

From now on this can happen automatically. You set once when an email should go out, and Buchung sends it at the right moment for every selected event.


Two new campaign types#

Under Communication → Campaigns you'll find two new types when creating a campaign:

  • Before the event starts — send a mailing at a fixed moment before the start, for example 3 days ahead at 09:00. Useful for practical information: starting time, location, what participants should bring.
  • Check-in reminder — remind participants who haven't completed the online check-in yet. You can set up to three reminders, each at its own moment before the start. Anyone who has already checked in by the send moment doesn't receive the reminder.

Each reminder also has its own email. By default you reuse the content of your first reminder, but you can write a separate text per moment — for example a bit more urgent close to the start. You'll find this under Content, with a tab per reminder.


Set up once, works for all your events#

You pick the events the campaign applies to and set the moment as a plain sentence: "Send this email 3 days before the event starts at 09:00."

Buchung calculates that separately for each event based on its start date. So you don't have to prepare a separate mailing per event, and you don't have to think about it on the day itself.


Late registrations are included automatically#

Registrations don't stop the moment you set up a mailing. The campaign takes that into account:

  • Anyone who registers before a send moment has passed simply receives the email at that moment.
  • Anyone who registers after a check-in reminder automatically gets the next one.
  • Anyone who registers so late that all moments have passed is neatly skipped — the overview shows you why.

See exactly what's planned and sent#

On the campaign page you see per event when the next send is scheduled. Under Sends you see per participant what happened: sent, scheduled, check-in already completed, or registered too late.

That way you know before the event that the right people received the right email — without keeping lists yourself.
